Dear Parent or Carer,

I am writing to you on behalf of the Greenfield Village Olympics committee to tell you about the arrangements for the training sessions that our coaches will be running for the Greenfield teams. A timetable of the coaching sessions in June, July and September accompanies this letter.

All of our coaches are amateur volunteers who have an enthusiasm for their sport, and a commitment to the core purpose of the Greenfield Village Olympics team, which is to get as many kids involved in as many sports as possible, enjoying the sport and the competition in a safe and happy atmosphere, which promotes the community spirit in Greenfield and Saddleworth.

Our commitment to child safety means that we only appoint coaches who are members of the community in Greenfield, and they will normally work together in pairs. We operate the child protection policy of the Saddleworth Village Olympics Committee, however we do not have the resources to complete Criminal Records Bureau checks for all of our adult volunteers every year; for this reason we require parents to supervise their own children during the training sessions, or to arrange for a friend or family member to do so.

In a small village it is possible that you may have such a relationship with one of the coaches, in which case we must stress that this is a private arrangement. We have asked coaches not to routinely accept supervision of children and we request parents or carers not to drop their children off, without specifying who is going to supervise them. In the event of any injury the person who is supervising your child must be competent to either administer simple treatment using the first aid kits that we provide, or make the decision to refer to medical specialists.

As part of the Saddleworth Village Olympics organisation we benefit from the insurance cover and organisation of the competitive events in September that the committee provides. For this reason it is absolutely essential that all children are registered before they participate in any sporting activity, in order to have insurance cover. This will usually only take five minutes at the start of the first session, but each coach will also need to collect contact telephone numbers for each child in case of an injury or bad weather.
